Senior Center Rental Policy
WHO & HOW TO RENT
The Spanish Fork Senior Center Hall will be available to rent to current members of the Spanish Fork Senior Citizen’s Center for events that the member is involved with. A rental request form is available from the Senior Center Director, must be filled out by the member and submitted to the Senior Center Director for approval. Upon approval, the white copy of the signed request form should be brought along with the rental payment to the Spanish Fork Parks & Recreation Office at 775 North Main, Spanish Fork, UT 84660. Office hours are Monday – Friday, 8 a.m. to 5 p.m.
RENTAL TIMES
The Senior Center is available for rent on Friday evenings from 4:00 – 10:00 PM. It is also available on Saturdays for the following time blocks: 1) 8:00 AM to 2:00 PM or 2) 4:00 to 10:00 PM.
Groups should allow for set-up and clean-up time during their rental block. Groups should not arrive more than 15 minutes prior to or remain 15 minutes longer than their rental block times. The time period between Saturday rentals is to allow center staff time to inspect the facility and do any additional cleaning.
RENTAL FEE & DEPOSITS
The rental fee is required at the time the reservation is made. The rental fee is subject to the refund policy as stated below. Each renter must agree to and sign a Senior Center Rental Contract.
Additionally, a Cleaning, Damage & Security Deposit is required when the key is picked up from the Parks & Recreation Office. Spanish Fork Senior Center staff will check the facility following the rental, inventory city property and report any problems with clean-up or missing property to the Parks & Recreation Office.
The cleaning, damage and security deposit will be returned to the renter upon return of the key following the rental, if the group meets the conditions stipulated in the rental contract. If the contract is not followed; (facility not cleaned, damage to the center or loss or damage to any equipment) part or all of the cleaning, damage and security deposit will be retained to help cover the cost of additional cleaning, damages and putting away equipment.

Rental Area includes: ~main floor hall, ~stage, ~sound system, ~piano, ~serving area with refrigerator, microwave and sink. NO downstairs access is included in the center rental.
When you arrive for your rental, if the tables and chairs are already set-up in the hall, and you choose to move or re-arrange them, the tables and chairs must be set-up at the end of your rental in the same configuration you found them.
REFUND POLICY
If a group cancels at least 48 hours prior to the day of the rental, a refund will be given less a $10.00 processing fee.
CLEAN-UP AFTER RESERVATION
Groups are responsible for basic clean-up of the center and the immediate area around the center and putting away any tables and chairs that are used OR restoring tables and chairs to their original set-up. Groups renting the Senior Center Hall will receive detailed cleaning and take-down guideline sheet. Senior Center Staff will check facilities following rentals, inventory city property and report any problems with clean-up or missing property to the Parks & Recreation Office.
SPECIAL EVENTS RENTALS
A special event is defined as a non-city sponsored event which uses City-owned facilities in order to accommodate the expected number of participants/spectators. An event which requires additional accommodations, whether or not supplied by the City, such as tents, temporary buildings, etc. is considered a special event. Examples are dances, concerts, company parties, large church gatherings, races and similar events. A special event is not a private social gathering (family reunion, etc.) which uses a facility at or below its posted occupancy level. An event which anticipates attendance of 200 or more persons will
generally be considered a special event. Special events have a different deposit and pricing structure, and require a special events application that is subject to approval by the Parks & Recreation Director.
ADDITIONAL EQUIPMENT
Any group bringing in additional equipment, as part of their rental activity must fill out and sign an Indemnification Agreement prior to their rental. Failure to do so may result in loss of deposit.
